The Department of Natural Resources (DNR) has an exciting opportunity within our Engineering Division, Title and Records Office team. Want to join an amazing agency and play a key role in maintaining the Department of Natural Resources’ land records? The Title and Records Office is the repository for documentation and information created and received by the Agency concerning Upland and Aquatic Land Ownership, management, and use, as well as, the Board of Natural Resources Meeting Minutes and Board Resolutions, the Commissioner of Public Lands Commissioner’s Orders, and all the agency’s Service Contracts. This position would serve all the Department of Natural Resources Divisions, Programs, Regions, and Districts by creating, indexing, and maintaining electronic images and data from digital and hard-copy documents, for a real estate portfolio consisting of approximately 6 million acres of upland and aquatic land, owned and managed by the Department of Natural Resources.

Duties
Responsibilities:

Digitizing Documents by Scanning and Indexing using ApplicationXtender, an enterprise-level records management software application, and Kofax VRS, a document image manipulation software application.
Filing and Pulling Hardcopy Documents and File Folders.
Maintaining Complex Electronic and Manual Filing Systems.
Purchasing and Procuring Office Supplies and Equipment and creating and submitting supporting purchase documentation including credit card account reconciliation and approval processing.

Qualifications
Required Qualifications:

High School Diploma or GED.
Two years of clerical experience, in a professional office setting emphasizing delivering exceptional customer service.
Knowledge of, and experience in operating document scanning/imaging hardware and software systems.
Proficient keyboarding and software troubleshooting skills.
Proficiency in Microsoft Office Suite.
Strong Organizational skills.
Ability to recognize, organize, and prioritize daily tasks.
Strong attention to detail and accuracy.
Efficiently and effectively uses time, equipment, and resources.
Good interpersonal communication skills.
Flexibility to work on different assignments, day-to-day.
Follow accepted rules of the English language regarding spelling, grammar, word usage, sentence structure, document formatting, and pronunciation in all oral and written communications.

Special Requirements and Conditions of Employment:
Working Setting: Office setting with cubicles in an open space environment. Records Vault with high-density, mobile assist, stacked filing system.
Travel Requirements: Infrequently, typically less than 6 times per calendar year, possible travel would arise from attending off-site training courses or presenting off-site training and outreach courses relative to the Title & Records Office.

Desired Qualifications:
Two years experience in operating both standard format and wide format scanning equipment.
Two years performing electronic indexing of digitized documents and data.
Experience with ApplicationXtender, Kofax Capture, VRS, or other similar Enterprise Content Management (ECM) software programs.
Knowledge and experience in real estate law, real estate brokerage, real property ownership conveyance, real property leasing or management, land use regulation or management, right-of-way easements, etc.
